GaL-AA Seeking Candidates For Election Early-2014

(Term 2/1/2014-12/31/2015)

The following positions will be on this year’s ballot – Deputy Chairperson, Secretary, and Advisor II. Brief descriptions of responsibilities for each position are outlined below. Please note that any GaL-AA member has the opportunity to serve if they so desire. All that is needed is for you to submit a service resume to Ethan K. This resume outlines your work within the fellowship and any specific talents that you feel might contribute to our mission and will be shared on the official ballot. Once all submissions have been received, the election will be held and results announced.

The election time lines are as follows:

  1. Resume Submissions are being accepted until January 20th, 2014.

  2. Slate of Candidates will be announced and ballots distributed by email.

  3. Election On line voting will be open from when the slate is announced until January 31st, 2014.

  4. Results The new slate of officers will be announced in late December.

  5. New Slate Officers assume responsibilities February 1st, 2014.

Officer Shared Responsibilities

  1. Participate in all planning to ensure that GaL-AA serves the gay and lesbian members of Alcoholics Anonymous; works in the spirit of unity with AA as a whole and carry’s the message of recovery for the lesbian and gay alcoholic who still suffers.

  2. Attend all meetings of the Executive Committee annually whether in person, conference call or other media method.

  3. Encourage and support the participation of members, representatives and volunteers in all areas of service

  4. Maintain fiscal accountability of GaL-AA through the development of an annual budget, approval of the annual budget, raising funds as needed and monitoring financial reports raising funds as needed and monitoring the Treasurer’s reports.

  5. Participate in periodic inventory of GaL-AA mission, services and goals; this inventory to take place in all odd-numbered years.

  6. Participate in the oversight responsibility for the GaL-AA newsletter, GaL-AA website, all print materials, public information and media endeavors.

  7. Agree to release full name and contact information while serving on the Executive Committee in keeping with the public corporate and fiduciary responsibilities.

  8. Participate in the formulation and membership of standing and ad-hoc committees as determined by the Executive Committee.

  9. At the time of rotation off the committee, each member will prepare and train the in-coming member to ensure an orderly transition to maintain the purpose and services of GaL-AA. This includes verbal, written and documentation.

  10. The Executive Committee will work within the Traditions of Alcoholics Anonymous in all matters, reminding us to act as trusted servants; trust the process of the group conscience and remember to place principles before personalities.

  11. Participate in other duties as assigned.

Deputy Chairperson

  1. Preside over all meetings of the full Advisory Council, Executive Committee and General Membership in the event that the Chairperson is unable to do so.

  2. Replace Chairperson in all identified roles and responsibilities in the event that the Chairperson is unable to execute the position.

  3. In cooperation with the Chairperson, establish all agendas.

  4. Oversee all literature (in print and on website) to insure accuracy and consistency of message.

  5. Monitor all literature (written and on website) to ensure that it is within the decisions and recommendations of the Executive Committee.

  6. In cooperation with the Chairperson, facilitate an on-going process of setting goals, monitoring progress, involving volunteers and identifying needs or changes.

  7. Serve as the primary liaison with AA-GSO, the AA Special Interest Groups, Box 459 and the gay/lesbian international AA community. Maintain communication through letters of introduction, annual contacts and transmitting GaL-AA minutes, financial reports and informational materials.

  8. Maintain responsibility for the election process, solicitation of nominees, slate of candidates and balloting. Deputy Chairperson will appoint one member of the Executive Committee to serve with the Deputy Chairperson in this task. The member is to be someone who is not a candidate in the election cycle. Secretary

  9. Prepare and distribute minutes for all GaL-AA Executive Committee meetings and General Membership meetings with attendance record. Document approval and/or corrections to minutes.

  10. In cooperation with Chairperson, prepare and distribute meeting agendas and corresponding materials prior to each meeting of the Executive Committee.

  11. Serve as custodian of corporate records including but not limited to by-laws, policies, rules of order, minutes, correspondence, committees, Manual of Policies and Practices, charter and archival materials.

  12. Receive and review all GaL-AA correspondence; respond and/or redirect as appropriate.

  13. Responsible for all GaL-AA Executive Committee correspondence.

  14. Maintain a listing of all members of the Executive Committee.

  15. Manage the post office box/corporate mailing address.

  16. Receive donations via mail; document and send acknowledgments.

  17. Maintain co-signatory authority on all bank accounts.

  18. Maintain compliance with non-profit incorporation, in cooperation with Treasurer.

  19. Maintain compliance with IRS status, in cooperation with Treasurer.

Advisor II

  1. Maintain the primary role for development of opportunities for representatives/volunteers to participate in the work of GaL-AA, to share in decision making and to assume responsibilities for service work.

  2. Maintain responsibility for distributing information from the Executive Committee to the representatives/volunteers.

  3. Maintain responsibility for channeling information from representatives/volunteers to the Executive Committee.

  4. Maintain responsibility for all materials (written or via website) which pertain to representatives/volunteers (with approval of Executive Committee). This includes job descriptions, flyers, brochures, handbooks, etc.

  5. Coordinate with Advisor I for all representatives/volunteers hosting a Gal-AA presence at roundups or conferences to ensure consistency of model and materials.

  6. Serve to orient new members of the Executive Committee who take office on January 1 in odd numbered years.

  7. Serve as the primary liaison with the Grapevine.

Please also note that in addition to the Executive Committee positions to be filled, there are also numerous standing positions that are currently available.
